Instructions for Oral Presentations

During the XXIXth International Congress of the ISBT, the Speaker Ready Room is located in room 1.51 on the first floor. From this room all presentations will be distributed to the different meeting rooms.

Please note: Only PowerPoint presentations made in Microsoft Office XP or earlier versions will be accepted.
Use embedded pictures and animations only; picture and animation links to the Internet or to other files will not be accessible. The overall size of your presentation should not exceed 40 Mb.

1. When preparing your PowerPoint presentation, please use Microsoft. Most PowerPoint presentations will be made in a resolution of 1024 x 768 pixels. All video/data projectors (beamers) at the Congress can visualize these resolutions without a problem. Use standard Windows fonts only, .24 font size can be read easily. Accepted picture file formats: .JPG, .GIF, .TIFF, .BMP, .HTML. Accepted audio formats: MPEG2 standard resolutions, QuickTime 6 or earlier version, Real player 5 or earlier version.

2. To ensure that the presentations are well prepared, we strongly advice you to bring your presentation to the Speaker Ready Room on diskette, CD-Rom or Zip-diskette and check the presentation with the preview technical staff at least 3 hours before your presentation is scheduled. You may also bring your laptop for copying your presentation to the main computer, which will be used for sending the presentations to the different meeting rooms. The use of your own laptop during your presentation is NOT possible.

3. Single-, double slide and overhead projections will NOT be offered during the XXIXth International Congress of the ISBT

Concluding:
  • Only PowerPoint Presentations made in Microsoft Office XP or earlier versions
  • No single-, double slide and overhead projections
  • No use of your own laptop during your presentation\
  • Come at least 3 hours before presentation time to the Speaker Ready Room when:
    o your presentation is not yet copied on the main system
    o you want to check your presentation
  • Do not forget to register for the XXIXth International Congress of the ISBT
    (www.isbt-web.org/capetown)

IMPORTANT: RETURN THE OFFICIAL POSTER REPLY FORM!
A poster board will only be reserved for you at the congress if you confirm your attendance by returning this form positively. Should you not show up, we are forced to exclude you from abstract submission for the next ISBT Congress!

EXPLANATION POSTER WALKS DURING POSTER SESSIONS:
Poster-walks will be introduced his year. The main goal is to gain a maximum benefit from the scientific work presented and to create a lively interaction between poster authors, moderators (senior experts in the field) and interested congress participants. Poster-walks will be organised during the poster sessions on Monday, September 4 and Wednesday, September 6 (17.30-18.30 hours). Poster authors and moderators are requested to be present at the first poster in their poster session, at the beginning of the presentation time (17.30 hours). In the final programme it will be published which topics will be moderated on which day.
Snacks and drinks will be served!

SIZE POSTER BOARDS:
Size of poster board: 99 cm wide and 248 cm high
Size of usable area: 95 cm wide and 238 cm high

PREPARING YOUR POSTER
Text on poster

• Use a clear typeface and, if possible, a laser printer.
• The poster should be readable from a distance of 2-3 meters. This means that all lettering should be at least 8mm high.
• Please prepare a title banner for your poster to be hanged across the top of the poster board. The title banner should have a width of max. 96 cm and should state the title of the presentation and the name(s) and affiliations(s) of the author(s). Lettering on the banner should be at least 20mm high.

Graphs and diagrams
• Graphs and figures should be readable from a distance of 2-3 meters.
• They should be drawn with a minimum line width of 1 mm.

AT THE CONGRESS
General Information

• One poster board will be allocated for each poster presentation.

• A printed number identifying each poster board will be provided.

• Material and color of poster board: hard board, colored white and an aluminium frame

Registration

• Please remember to register for the congress in order to be allowed to make your presentation. You can register online via the congress section of the ISBT website www.isbt-web.org/capetown

Location

• Posters will be presented in the Poster Area, which is located in the Exhibition area.

Poster Mounting

• Posters should be mounted during the indicated set-up time (see below).

• Posters should be mounted with double sided tape only.

• Assistance and material for mounting the posters will be available from set-up time (see below), at the poster desk in the poster area.

• Please mount your poster on Monday 4 September as of 09.00 hours.

Poster Viewing and Presentation

• Posters will be on display in the poster area for four days and will be open for viewing during exhibition hours.

• Poster authors are requested to be present at their poster during the entire presentation time (see below) to attend the Poster-walks. During these walks, an expert in the field will discuss posters in the same poster session, together with interested Congress participants.

Removing your poster material

• Material should be removed before 12.00 hours on Thursday, September 7..

• If posters are not removed within the time for dismantling (see below), your poster will be removed and destroyed by the congress organiser.

Responsibility for poster presentations
The Organising Committee does not assume any responsibility for material displayed on the poster boards.
