Hotel accomodation

Hanoi offers a wide range of hotels from standard to luxury class ones with modern facilities, the most competitive prices and excellent services. Most hotels and public places in the city have facilities and easy access for disabled people.

Hotel accommodation can be reserved in Hanoi through the intermediary of the official Housing and Travel Agent, Benthanh Tourist.

To book hotel accommodation, please complete the 'Accommodation and Tour Booking Form' then fax or send it to Benthanh Tourist. You should indicate the category of the hotel you require on the hotel booking form. Please also indicate a second choice of category we should book for you, if your first choice is not available. On-line hotel reservations can also be made on the congress website from April, 2007.

The hotels listed on page 18 have been especially reserved for the congress and preferential rates have been negotiated. Daily transportation to and from the venue from the official hotels will be provided free of charge if you book one of these congress hotels, through Benthanh Tourist.

Confirmation of hotel reservation

All hotel reservations will be confirmed to you in writing with the name of the hotel, the type of accommodation booked, your arrival and departure dates and the room rate and the deposit required. An invoice and request for payment will be sent together with this confirmation.

Accommodation cannot be guaranteed after September 1, 2007(*). The hotel reservations will be made on a first come, first served basis according to when the requests for accomodation are received. Benthanh Tourist will, of course, make every effort to meet participants' requirements.

Hotel deposit

A deposit equal to one night's room rate(**) is required to reserve the hotel booking. All reservations must be guaranteed with a credit card number. If payment is made in another way (e.g. bank transfer) the full payment will be required before October 25, 2007. Deposits which have been paid in advance will be deducted from the final hotel invoice. No reservations will be processed unless this deposit is paid and the reservation is guaranteed with a credit card number.

Changes and Cancellation

Cancellations must be submitted to Benthanh Tourist in writing. cancellations before September 1, 2007 will be fully reimbursed after the deduction of a uS$10 handling fee. After September 1, 2007 the deposit cannot be reimbursed. In case of no-show or earlier departure the total amount for accommodation will be debited from the credit card after october 25, 2007(***).

An amendment fee of US$ 5 applies to every change made to confirmed reservations. Any changes to a hotel reservation must be sent in writing to Benthanh Tourist, and not directly to the hotel(s). You will be charged any bank fees relating to refunds for any amendment or cancellation.

Late and early arrivals

Please indicate on your accommodation booking form, or notify the housing bureau in writing, if you will arrive at your hotel after 18.00 hours. Failure to do so may result in your room being released. Many international flights arrive in Vietnam in the early morning. Hotel check-in time is usually 14.00 hours. If you expect to arrive before this time, you may not be able to gain access to your room. In order to guarantee that a room is available earlier, you will need to pre-register and pay for the night before. If early check-in is required, please indicate this on your form and we will do our utmost to get you the best deal.

The above hotel reservation conditions apply to all hotels on the list except Sofitel Metropole Hotel which has the following specific booking conditions:

(*)	Booking Form should be sent before May 30, 2007.
(**)	Non-refundable deposit of 50%, total room charge is required when the booking is confirmed
(***)	After October 25, 2007, 100% of the total accommodation amount will be charged for any cancellation, or no-show.
