Hotel information

Introduction
A wide range of hotel rooms have been reserved for exhibitors and participants attending the XXth Regional Congress of the ISBT, Asia which will be held from November 14–18, 2009 in Nagoya, Japan. JTB CHUBU Corporation, Corporate Sales Office Nagoya has been appointed as the Official Housing & Travel Agency to handle enquiries and requests for rooms.

Reservation
To make a hotel reservation, please click here. You should indicate your preferences and guarantee a deposit payment by credit card since hotel blocks will be filled rapidly.

Confirmation of Hotel Bookings
After completion of your hotel reservation, a confirmation will be sent. All hotel reservations will be confirmed to you in writing with the name of the hotel, the type of accommodation booked, the arrival and departure dates, the rate, and the deposit required. A confirmation will be sent by e-mail or by fax. Reservation made after September 30, 2009 will be subject to availability of hotel rooms and special conference rates may not be honored.

The hotel reservations will be made on a first come, first served basis according to when the requests for accommodation are received.

Hotel Deposits and Payment
Deposit is required to make the hotel booking. Deposit can be made in Japanese Yen by Credit Card. Full night deposit per room per person is required by before September 30, 2009. Payment not received September 30, 2009 will result in automatic cancellation of all accommodation.

Cancellations and Refund Policy
JTB CHUBU Corp. should be notified in writing of all cancellations. Refunds for cancellations of rooms will be subject to the following deadlines and charges:

• Before September 30, 2009, full refund less a handling charge of JPY 1,000
• Until October 31, 2009, 20% of total room charge
• Until November 6, 2009, 50% of total room charge
• After November 7, 2009, 100% of total room charge*

* Full room charge applied to cancellation, no show, arrive later or earlier than the indicated dates will also be classified. All refunds will be made 30 days AFTER the close of ISBT NAGOYA 2009.

Name Changes for Hotel Bookings
Participants may substitute the names of other participants from the same organization for their own provided that they notify JTB CHUBU Corp. at least 7 days prior to the date of check in and the period of stay must remain the same as the original booking.

Arrival Dates
If you are crossing the “International Date Line” please take into consideration the time difference and check that your arrival date in Nagoya is correct.

Early Arrivals and Late Departures
Reservations for early arrivals and late departures will be subject to availability. The check-in time is 14:00 or 15:00 hours and check-out time is 10:00 or 11:00 hours depend on each hotel’s policy.

No Show
In the event of no-shows, all payments will be non-refundable.
